Hey Will
Will

Right now, you’re the one chasing every client for documents.

Will works in your firm’s Gmail, WhatsApp and ClickUp and in your clients’ Conta Azul. It sees who owes bank statements, invoices and payroll, fetches whatever it can on its own and chases the rest with the due date of each tax payment slip.

Today, without Will

Every back-and-forth becomes Will’s work.

This is the back-and-forth of an ordinary day. Will takes all of it on and tells you when it’s done.

Your day so far5back-and-forths
  1. Opened the spreadsheet of who’s sent this month’s statement
  2. Sent the same bakery its third reminder
  3. Hunted for a lost invoice in a pile of 40 emails
  4. Explained to a client, again, when the tax slip is due
  5. Found out a client’s payroll was missing, on the day it was due

Leave the document chasing to me. You close the month.

What Will takes off your plate

Who owes documents

Will checks the client list in ClickUp against what came in by email and WhatsApp and shows who owes statements, invoices or payroll data.

Documents pulled from the source

Invoices from the client’s Conta Azul or Omie, statements through Open Finance (regulated by Brazil’s Central Bank): whatever can be fetched, Will fetches without bothering anyone.

Reminders that go out on time

Each client gets what’s missing and the tax slip’s due date, by email or WhatsApp, and Will follows up with anyone who doesn’t reply.

A month-end close without surprises

Month-end tasks in ClickUp show up by client, with the deadline and what’s holding them up, before anything turns into a penalty.

Tax slips sent with the due date

Finished tax slips go to each client with the due date, and Will sends a reminder the day before.

Quick guide

AI for accounting firms: 5 practical uses

At an accounting firm, AI helps you identify documents, explain tax slips to clients and organize the month-end close. Here are five things Will does in email, WhatsApp and clients’ systems, such as Conta Azul and Omie. Tax calculations and filings stay with the accountant.

  1. Attachments identified on arrivalWill identifies every attachment that arrives by email or WhatsApp, such as a bank statement, an incoming invoice, a contract or proof of DAS payment (Brazil’s small-business tax), and files it in the right client folder. Nobody opens files one by one.
  2. This month’s tax slip, without the jargonWith the amount and due date in hand, Will sends the client a short explanation: what the tax slip is, why the amount changed and what happens if it’s paid late.
  3. What each client sends for the closeWill builds the list of what each client needs to send that month, based on their tax regime and line of business, and follows up on WhatsApp for whatever is missing. The close stops waiting on documents.
  4. Transactions already categorizedWill reads the client’s bank statement through Open Finance, assigns each transaction to the right account and sets aside only the uncertain ones for the analyst.
  5. The usual questions, already answeredWill answers the questions clients ask most, like the deadline for sending invoices and when the tax slip will be ready, with the firm’s rule. When the rule changes, the answer changes with it.

If your firm is deciding between hiring someone to chase documents and putting Will in that role, see why the answer is often both.

Who still owes this month’s invoices?

Will

Eight clients, based on what’s come in so far. Five are already overdue on the month-end card.

Can you chase those five?

Will

Chased all five on WhatsApp, each with what’s missing and the tax slip’s due date. Two have already sent theirs, and I attached them to the card.

Frequently asked questions

Does it work with our accounting software?

Yes. Will works with your clients’ ERPs, such as Conta Azul, Omie, Bling and Tiny, with banks through Open Finance, and with the firm’s email, WhatsApp and ClickUp. And if your accounting software has a login, Will uses it too.

Does Will send the reminders to clients?

Yes. Each client gets what’s missing and the deadline, on the channel they usually answer, and Will follows up with anyone who hasn’t sent it. Whatever comes in goes straight to the client’s card.

Does it calculate taxes or file returns?

No. Will handles the running around: documents, reminders, tax slips and deadlines. Tax calculations and filings stay with your team and your accounting software.

What about our clients’ data?

Each person sees only what they should. You decide what Will does on its own and what it brings to you. Payments and anything you mark as sensitive always go through you, and everything gets a receipt. The details are in Security and LGPD.
