Hey Will
Will

Right now, you’re the one asking "so, how’s it going?" on every project.

Will follows the tasks in ClickUp and every project’s emails and WhatsApp chats. It chases whoever is behind, updates deadlines and owners, and puts the meeting agenda in Google Calendar with whatever is still stuck.

Today, without Will

Every back-and-forth becomes Will’s work.

This is the back-and-forth of an ordinary day. Will takes all of it on and tells you when it’s done.

Your day so far5back-and-forths
  1. Opened ClickUp to see what had moved
  2. Sent "any update?" to three people
  3. Collected the replies in a spreadsheet
  4. Found a blocker in the supplier’s email
  5. Built tomorrow’s agenda from scratch

Let me do the asking and the updating. I’ll tell you what I unblocked.

What Will takes off your plate

What stalled and why

Tasks with no movement show up with the likely reason, and Will chases whoever can unblock them.

Status without a meeting

A project summary built from ClickUp, emails and WhatsApp, with the sources.

The agenda, ready

Before the meeting, Will lists what needs a decision and puts the agenda in the Google Calendar invite.

Deadlines always current

When someone changes a date, Will updates the deadline in ClickUp and tells whoever depends on it.

Quick guide

How to use AI in project management: 5 practical uses

In projects, AI helps you turn meetings into tasks, break scope into deliverables and spot risks early. Here are five things Will does in ClickUp, Google Meet and Google Calendar. The official schedule stays on the task board.

  1. Meeting notes that become tasksAfter the Google Meet call, Will turns the transcript into decisions, tasks, owners and deadlines, and creates each task in ClickUp the same day.
  2. Scope broken into deliverablesFrom a paragraph about the project, Will builds the list of deliverables with dependencies and a definition of done for each. It’s a first version for the team to discuss, not a final plan.
  3. Risks before they turn into delaysWill looks at the schedule in ClickUp and flags tight deadlines, chains of dependencies and people with too much work. The top three go on the agenda for the next meeting.
  4. A summary for the sponsorEvery Friday, Will sends the project sponsor the progress, the blockers and the decisions that depend on them. No jargon, and not the whole task list.
  5. Lessons learned at wrap-upAt the end of the project, Will rereads the meeting notes and key emails and writes up what went well, where things ran late and what to change next time. The next project starts with that in writing.

If your team already runs its projects in ClickUp, Will works right there, updating deadlines and following up with whoever is behind: see Will or ClickUp Brain.

How’s the summer collection launch going?

Will

Seven of ten tasks moved. Two are waiting on the studio photos, which I’ve already chased: they’re coming Thursday. Helena still needs to set the price.

Can you add it to tomorrow’s agenda?

Will

Added, with the three cards linked and the studio’s new date.

Frequently asked questions

Does Will replace ClickUp?

No. ClickUp is still where the work lives. Will reads, updates and chases, and the project moves without anyone having to ask "so, how’s it going?"

Does it work with Asana, Trello or Jira?

Yes. Will works with ClickUp, Slack, Google Calendar and Google Sheets, and with the other project tools your team uses: if it has a login, Will uses it too.

Does it change deadlines on its own?

It does, when the date has really changed, and it shows where the new date came from. You decide what Will does on its own and what it brings to you, and everything gets a receipt.

Does it work for client projects?

Yes. It connects what the client asked for by email with what’s in ClickUp, and chases both sides.

Start with what you chase by hand.
